Protecting Your CEO Time: Because Without You, There Is No Business
Tell me if this sounds familiar.
You start the week with good intentions. You’re going to do your planning, review your numbers, batch some content, maybe finally look at that workflow that’s been bothering you for months. You’ve even got a block on the calendar for it.
And then Monday happens. A client needs something. Your inbox is full. The to-do list is longer than the day. And that CEO time - the time you set aside for you and your business - gets quietly pushed to tomorrow. Then the next day. Then next week. Then somehow it’s the end of the month and it never happened at all.
Sound familiar? Yeah. I’ve been there too.
Here’s the thing though: that time you keep skipping? It’s not optional. Weekly planning, monthly reflection, quarterly goal-setting, content batching, bookkeeping, refining your workflows - this is the work that actually moves your business forward. Without it, you’re not running a business. You’re just reacting to one.
And you can’t grow from reaction mode. You can’t scale, you can’t get ahead, and you definitely can’t build something that supports your real life.
So let’s talk about how to actually protect your CEO time, and why it matters more than almost anything else on your list.
What CEO Time Actually Is (And Why It Keeps Getting Skipped)
CEO time is any time you spend working on your business instead of in it.
That looks different depending on where you are in your business, but generally it includes things like weekly planning and prep, monthly reflection and goal-setting, quarterly reviews, content batching, bookkeeping, auditing your systems and workflows, and thinking strategically about where your business is headed. It’s the behind-the-scenes, big-picture work that keeps everything else running smoothly.
And it is almost always the first thing to go when life gets busy.
Why? Because it doesn’t feel urgent. Client work has deadlines. CEO time doesn’t - at least not in an obvious, immediate way. So when something has to give, it gives.
But here’s what that pattern is actually costing you: without consistent CEO time, your business can’t grow. You stay stuck in the day-to-day, putting out fires instead of preventing them. You lose sight of the bigger picture. Your systems get clunky, your goals get fuzzy, and that sustainable, aligned business you’re trying to build keeps feeling just slightly out of reach.
The irony is that the busier you get, the more you need this time.
How to Actually Protect It: Real Habits That Work
Okay, so we agree it’s important. Now let’s talk about how to make it actually happen - because “just schedule it” is advice that sounds good and does very little on its own.
Treat it like a client call - and do not ghost yourself! Put it on your calendar in advance, give it a specific time block, and honor it the same way you’d honor a call with a paying client. You wouldn’t cancel on them last minute without rescheduling. Give yourself the same respect. If something genuinely comes up and you have to move it, reschedule it immediately - don’t just let it disappear.
Build a rhythm that works for your actual life. Rigid schedules don’t survive contact with real life, especially if you’re balancing a business with kids, a job, or both. Instead of trying to protect one perfect block every week, look at your calendar at the start of each week and find where you realistically have room. I like to do a quick look ahead on Sunday or Monday - nothing heavy, just getting oriented so I know what the week actually holds.
Layer your CEO time by timeframe. Weekly check-ins keep you on track day to day. Monthly reflections let you zoom out, assess what worked, and set your intentions for the month ahead. Quarterly reviews are where you look at the bigger picture: your goals, your numbers, your direction. Each layer serves a different purpose, and together they create a rhythm that keeps you out of reaction mode.
Make it something you actually want to show up for. This one sounds small but it matters. Grab your favorite drink, light a candle, put on a playlist that puts you in the zone. Romanticize it a little. CEO time doesn’t have to feel like a chore - it can feel like a ritual. The more you associate it with something good, the easier it is to protect.
And when you’re in it, be in it. Set a timer, silence your notifications, close your client folders. This is not the time to answer emails or sneak in a deliverable. This time is for you and your business only. Guard it like it matters, because it does.
